Access Review Guide for redOrange.ai

1. Introduction

Access Review in redOrange.ai empowers administrators and compliance teams to regularly review and validate user access to business applications, groups, roles, and resources. This guide explains how to navigate, manage, and complete access reviews efficiently within the application.


2. Accessing Access Review

  • Log in as an Administrator or a user with Can Manage User Review Access permissions.

  • Navigate to Access Review from the side menu.


3. Access Review Sections

The Access Review module is organized into four main submenus:

  • Applications

  • Users

  • Groups

  • Roles


4. Applications Submenu

Overview

  • Displays all supported business application cards, showing:

    • Total Users

    • Flagged Accesses

    • Last Review Date

    • Business Criticality

    • Connection Status (Connected/Disconnected)

Reviewing Access for an Application

  • Click an application card to view detailed access information for users, including:

    • Name

    • Username

    • Role in the application

    • Group memberships

    • Access privileges

    • Flag access

    • Review status

    • Last review date

    • Review comments

User Task Sidebar

  • Clicking a user opens a sidebar displaying:

    • Application name

    • Flagged access status

    • Assigned reviewers

    • Review status (default: Not Reviewed)

    • Username

    • Last review date

    • Access privileges, roles, groups

    • Comments section for reviewer notes

  • Actions available:

    • Flag/unflag access

    • Change review status (Not Reviewed, In Progress, Reviewed)

    • Assign reviewers

    • Add comments

  • Assigned reviewers receive tasks in My Work > Access Review > User section, where they can update status and add comments, marking tasks as:

    • Not Reviewed

    • In Progress

    • Reviewed

    • Resolved

Note: You can download the entire Access Review Actions as Report in the xlsx format under Access Review > Application > { Select Application} > Download Report

5. Users Submenu

Overview

  • Lists users with columns for:

    • Username

    • Vendors (application logos where user has access)

    • Assigned roles

    • Access privileges

    • Flag access option

    • Groups

    • Review status

    • Last review date

User Task Sidebar

  • Clicking a user opens a sidebar similar to the Applications section with detailed info and review controls.

  • Reviewers assigned tasks here receive them in My Work > Access Review > User.


6. Groups Submenu

Overview

  • Displays all supported business application cards, showing:

    • Total Users

    • Flagged Groups

    • Last Review Date

    • Business Criticality

    • Connection Status (Connected/Disconnected)

  • Lists groups with details including:

    • Group ID and Name

    • Vendor (application logo)

    • Group users (expandable view)

    • Group permissions

    • Flag access toggle

    • Review status

    • Last review date

    • Review comments

Group Task Sidebar

  • Clicking a group opens a sidebar to flag access, update review status, assign reviewers, add comments, and view permissions.

  • Assigned reviewers receive tasks in My Work > Access Review > Group.


7. Roles Submenu

Overview

  • Displays all supported business application cards, showing:

    • Total Users

    • Flagged Groups

    • Last Review Date

    • Business Criticality

    • Connection Status (Connected/Disconnected)

  • Lists roles associated with applications, showing:

    • Role ID and Name

    • Vendor (application logo)

    • Users assigned to the role (expandable)

    • Flag access toggle

    • Review status

    • Last review date

Role Task Sidebar

  • Clicking a role opens a sidebar for flagging access, assigning reviewers, updating review status, adding comments, and viewing details.

  • Reviewers receive tasks in My Work > Access Review > Role, with statuses:

    • Not Reviewed (default)

    • In Progress

    • Reviewed

    • Resolved


8. Best Practices

  • Conduct regular access reviews, focusing on flagged accesses to reduce risk.

  • Assign appropriate reviewers to ensure accountability.

  • Document rationale in comments to maintain audit trails.

  • Keep review statuses current to reflect progress accurately.

Cannot assign reviewers

Verify you have the necessary permissions

Access flags not updating

Refresh the page or log out and log back in
