1. Introduction

Project Management in redOrange.ai enables users to efficiently manage compliance-related tasks through dedicated sections for Compliance, Policies, and Access Review. This guide explains how tasks are assigned, tracked, and completed within the application.


2. Accessing Project Management Tasks

  • Log in as an Administrator or a user with Can Access Tasks permission.

  • Navigate to My Work and select the desired task type from the dropdown:

    • Compliance

    • Policies

    • Access Review


3. Compliance Task Management

Compliance tasks are organized into four submenus:

  • Assigned

  • Approval

  • Owner

  • Collaboration

Task Assignment

  • In the View and Verify Controls or Verify Compliance (Manual) sections, controls can be assigned to users.

  • The Owner assigns the compliance control task and can add:

    • Collaborators

    • Approvers

    • Due Date

    • Criticality

  • Once assigned, the designated users receive their task under My Work > Compliance in the relevant submenu.

Assigned Section

  • Users with assigned tasks see them under Assigned with full details of the compliance control.

  • They can assess the control question, submit answers, mark the task Completed, and upload evidence.

Approval Section

  • After submission, the Approver reviews the task in the Approval submenu.

  • Approvers can approve or reject the submission, add comments, and update the status accordingly.

Owner and Collaboration Sections

  • Owners and collaborators have visibility of related tasks and can track progress or provide support.


4. Policy Task Management

  • Navigate to My Work > Policies to view policy-related tasks.

  • When policies are created or uploaded under each framework, the creator can assign:

    • Owner (typically themselves)

    • Approver (someone with approval authority)

    • Priority, Comments, Due Date, and Criticality

  • Assigned owners and approvers receive these tasks in their My Work > Policies area.

  • Approvers can:

    • Approve or reject policies

    • Provide comments explaining their decision

    • Update status as Completed, In Progress, or Not Started.


5. Access Review Task Management

  • Access reviews allow you to flag users for review based on their permissions in connected business applications.

  • You can assign a Reviewer to assess the flagged user’s access.

  • Reviewers receive tasks under My Work > Access Review.

Reviewer Actions

  • Review the user’s permissions and provide a review status:

    • Not Reviewed

    • In Progress

    • Reviewed

    • Resolved

  • Add comments or notes related to the review.


6. Best Practices

  • Assign tasks promptly with clear owners and approvers to ensure accountability.

  • Set realistic due dates and criticality levels to prioritize compliance efforts.

  • Upload supporting evidence for compliance tasks and policies for audit readiness.

  • Use comments to document discussions and rationale for decisions.

  • Regularly monitor task status across all three task types to maintain compliance momentum.
